What Is a Wedding Photo QR Code Sign?
It is a printed sign or table card that invites wedding guests to scan a code and add the photos they take to the couple's event. The sign makes the next action clear before anyone reaches for their phone.
What happens after guests scan?
Their phone browser opens the upload page. Guests enter the optional event passcode if you use one, choose photos, and see upload progress without downloading an app or creating an account.
Why use a sign for guest photos?
A visible instruction connects the QR code to the photos you are asking for. Repeating that prompt around the reception gives guests more chances to contribute while the celebration is still happening.
Where the photos go
Uploads arrive in the Toast Album event for the host to manage and download. The private event link can also be protected with an optional passcode for the intended guest group.

How to Create Your Wedding Photo QR Code Sign
The sign is a clear invitation to use your event's sharing destination. Photos are stored in the Toast Album event, not in the QR code itself.
Set up your event
Create a Toast Album account and event so the sign can point to that event’s private guest upload page.
Open the card designer
From Manage Event, choose “Design & download card” to open the printable QR designer for that event.
Choose and personalise
Select a template and flat accent colour, then edit the heading, event name, date or venue, and instruction.
Export the right format
Download a high-resolution PNG, an A5 PDF, an A4 two-up PDF, or the QR code on its own.
Print and test one copy
Print at the intended size, then scan it in the venue lighting and complete a test guest upload before the full run.
Place signs where guests pause
Use the same event code on welcome signs or table cards near the guest book, bar, photo booth, or dining tables.
Plan for the reception
Wedding QR Table Cards or One Large Sign?
A large sign is easy to notice from a distance; smaller wedding QR table cards stay close while guests are seated. Many receptions benefit from using both, with the same event code on every copy.
Welcome table or guest book
Use a larger framed sign where guests arrive or pause to leave a message. Keep the instruction short enough to understand while people are finding their seats.
Reception table cards
Smaller cards keep the photo prompt within reach during dinner and speeches. Place one on each table, or use them on selected tables where they remain visible without crowding place settings.
Bar, photo booth, and dance floor
Add a copy where guests wait, take pictures, or return during the night. Check that the card is well lit, upright, and close enough to scan comfortably.
Use one event QR code
You do not need a different code for every display. Reuse the same event QR across the welcome sign and table cards, keep it within the guest group, and test each finished size.

Before the print run
Print Your Wedding QR Signs with Confidence
A polished design still needs a practical print test. Check the code at its final size and in conditions close to the wedding venue.
Know what Toast Album exports
Choose a high-resolution A5 PNG, an A5 PDF, an A4 landscape PDF with two A5 cards and a cutting guide, or a QR-only PNG. A stationer can use those files in a separate larger layout.
Protect scan readability
Keep the QR code dark on a light background, preserve its clear margin, and avoid folds, busy artwork, glossy glare, or placing it too far from where guests will stand.
Test the finished size
Print one sample at 100% scale. Scan it with standard camera apps from the intended viewing distance, then confirm your event's upload page opens.
Repeat the same event code
Use the same code across welcome signs and table cards for one event. Keep the sign and its private link within the guest group, and share any optional passcode separately when appropriate.

Questions Before You Print
The details that matter when you move from an on-screen design to signs guests will use throughout the celebration.
What should a wedding photo QR code sign say?
Use one short action, such as “Scan to add your photos,” plus your names or event name. Guests should understand what the code does before they scan it.
Which print formats are available?
Toast Album can export a high-resolution A5 PNG, an A5 PDF, an A4 landscape PDF containing two A5 cards with a cutting guide, or a QR-only PNG. A stationer can place the PNG or QR-only file into a different layout, but that layout is separate from Toast Album’s exports.
How big should the QR code be?
Allow about 10 cm of scanning distance for every 1 cm of code, and never print it smaller than 2 cm. The code on Toast Album’s A5 card is about 5 cm across (6 cm with its white border), which suits table cards scanned at arm’s length. For a welcome sign guests scan from a metre or more away, print the QR-only PNG at least 10 cm wide, then test it from where guests will stand.
Can I use the same QR code on multiple signs?
Yes. Copies made for the same event can use the same QR code, whether they are welcome signs, table cards, or displays. Keep that private event link within the intended guest group.
Do guests need an app or account?
No. The QR code opens the event’s upload page in a phone browser, and guests can add photos without installing an app or creating an account. If you enable an event passcode, guests will also need that passcode.
Where should I place the signs?
Choose places where guests naturally pause and use their phones: the welcome table, guest-book station, dining tables, bar, or photo booth. More than one well-placed sign is easier to notice than a single entrance sign.
How do guests upload their photos?
Guests scan the code with their phone camera, open the private event upload page, and choose photos from their phone. Toast Album shows upload progress in the browser, with no guest app or account required. A passcode step appears first if you have enabled one.
Can we use the QR code in our own stationery or sign design?
Yes. Download the QR-only PNG from Toast Album and place it into your own stationery or a stationer’s design. Keep the clear margin around the code, use strong contrast, and test the final printed artwork before making every copy.
